An alternative destination for the festive season - a community and family focused friendly cultural hub bringing together great entertainment, food and drink. Maximum 3,000 patrons on site at any point (SW4 has a 29,999 capacity) Free to enter at all times for children under 16. A small entry fee for adults will be charged at peak times, likely Fri nights, Saturdays & Sundays. Family friendly live entertainment, theatre shows, childrens film screenings, Christmas Carol puppet show, and a dedicated ’Kids Quarter’ The event will cater for those with accessible needs Free tickets and discounts for Wandsworth Residents

WINTERVILLE 2018 COMMUNITY BENEFITS OVERVIEW

Park Investment Levy

• In 2018, £70,000 was levied from Winterville for the Clapham Common Park Investment Levy. This money was spent on projects

such as: more bins, replacing perimeter fencing, restoring the paddling pool, upgrading Battersea Rise Playground.

Tickets & Discounts

• Wandsworth residents accounted for 22% of all advance tickets sold.
• In 2018, 35% of all advance tickets sold were taken up by Lambeth or Wandsworth residents. Some 5,550 free or discounted tickets

to various events and attractions were taken up by local residents, which represented 20% of all sales. We sold 2,610 regular Local Resident Discounts and 2,189 Early Bird Discounts, which represented 35% of all ice rink tickets. Local residents and employees of local businesses enjoyed a 50% discount on Ice Rink tickets during the week before 7pm and a 10% discount at all other times.

Entertainment 4 All

• Portion of tickets were put aside for low income families via the community housing schemes, children's centres and youth groups.

Over 60 local schools over Lambeth and Wandsworth where offered special discounts on the ice rink and the family theatre show. Raffle prizes were donated to 8 local schools.

Charities & Charitable organisations

• There were 3 official charity partners in 2018, Royal Trinity Hospice, Great Ormond Street Hospital and Shelter. Free fundraising

prizes were given to 9 local charities.

• Free Entry - Electric Winter will be free to all SW4, SW11 and SW12 residents at all times, except after 5pm

Fridays and Saturdays.

Tickets - Unlimited amount of reduced priced tickets will be available for local residents for Spiegeltent performances on a first-come, first serve basis.

• Entertainment 4 All – Due to it’s success in 2018, the Entertainment 4 All Scheme will be offered once again

for cinema, mini golf, ice curling and axe throwing. This enables low income families within Lambeth and Wandsworth to access free tickets to these activities.

• Ice Curling – Lambeth and Wandsworth residents and business employees can enjoy a 50% discount on ice

curling sessions during the week until 7pm.

• School Discounts – Schools within Lambeth and Wandsworth will be offered special discounts for ice curling

and the family Christmas show. Raffle prizes will also be available for school fayres and events.

• Local Work Experience – Working with Lambeth and Wandsworth colleges to create work experiences for

students.

• Charity Partners – Organisers will be appointing official charity partners from Wandsworth.
• Local Charities – Free tickets and other benefits will be extended to local charities within Lambeth and

Wandsworth.

2020 TEAM

The Electric Winter 2020 promoters have engaged a professional production management team to oversee the delivery of the events, this will be the same management team who produced Winterville in 2018. With a keen focus on community impact management, the production team will take on board the debrief reports and information that has been made available from the delivery of the 2017 and 2018 events and will look to improve upon these for 2020. The production team are well-versed in the delivery of largescale, metropolitan music events and have a trusted track record in delivering safe, enjoyable events including:

2020 EVENT KEY CHANGES SINCE WINTERVILLE 2018

Location

• The event has moved to the hardstanding site on the West side of

the Common. Size

• The event site footprint has reduced by 20% from 2018.
• Content has been reduced to create a more focussed event with

fewer sound systems and significantly less funfair rides than Winterville 2018

• Same quality event
• Better space utilisation

Capacity

• Has reduced from a 5,000 event to a 3,000 capacity event.

Operating Dates

• The event duration has been reduced to 34 days (39 in 2018).

The cross path to the bandstand will remain open 24 hours a day, except for peak times (expected to be Friday nights, Saturday & Sunday from lunchtime. The pathways surrounding the site will remain open 24 hours a day.

TRAFFIC MANAGEMENT

• Organisers have appointed an independent traffic consultant to

develop plans for the event.

• The event site is well served by public transport with London

Underground Stations, Overground Stations and Bus Stops within close walking distance.

• Parking will be made available onsite for disabled customers.
• Construction traffic will be limited to hours agreed with
• Wandsworth. All construction vehicles will be contained within

the event site.

• All customers will be encouraged to use public transport to

arrive at the site, and actively discouraged from driving.

• A temporary cycle park will be provided near the main

entrance of the site.

• Taxi pick up and drop off proposed to operate from Nightingale

Walk.

• Travel information will be available on the Electric Winter

website, social media platforms and will be sent out to any advanced purchasing tickets.

• Formed strong working relationship with the local

authority and other responsible authorities.

• Only 4 noise complaints over the events 5 week run.

• No reported cases of anti social behaviour

plan implemented.

2020 ACCESS MANAGEMENT

• Bins and signage provided at exits to encourage

patrons to dispose of waste before leaving the event site.

• Signage and security personnel in place at the exits

to instruct attendees to leave in a quiet fashion, and to be mindful of local residents.

• Bars will be closed a minimum of 15 minutes before

the entertainment finishes. All drinks confiscated at the exits.

• Event Security on call to respond to incidents and

complaints.

• Litter picking team on call to deal with any event

waste generated around the perimeter of the event site.

SUSTAINABILITY & ENVIRONMENT

We recognise that the entertainment industry could do more to protect the environment and plan to put in place a positive sustainability policy that underpins the whole event. These are some of the measures that will be taken: Positive Sustainability Policy

• Bury zero waste in landfill sites
• Public facing waste segregation system so waste streams can be recycled more effectively
• Leave no trace of litter
• Ban single-use plastics across site
• All trader serve ware to be compostable
• Recycle all trader & back-of-house food waste, glass and timber
• Reduce or eliminate use of diesel in generators
• Ecology consultation has developed a biodiversity plan specific to this site
• Tree roots will be protected by additional ground protection. All trees within the event footprint

will be cordoned off to protect them.

• All grass areas will be covered with ground protection
• External lighting will be minimised to avoid disruption to surrounding properties and local wildlife

SECURITY, POLICE AND PUBLIC SAFETY

• 0 reports of Anti Social Behaviour at Winterville 2018. An ejection policy will be in place in 2020 to keep this record.
• An experienced security contractor will manage all aspects of security and crowd management in 2020. There will

be overnight security during the build, break and duration of the event.

• Security will manage entrance gates, searches on arrival and site capacity.
• All staff will be clearly identifiable inside and around the site should any attendees or the public require assistance. Security will

provide directional assistance and general customer service support.

• Security will identify any concerns of alcohol abuse

SOUND MANAGEMENT

• Only 4 noise complaints at Winterville 2018.
• A Noise Management Plan has been produced for approval by Wandsworth Council.
• Working with a sound management consultant to set noise limits for venues and activities to mitigate disturbance.
• A dedicated resident hotline phone number will be given out to report any noise concerns.
• We will work with Wandsworth’s environmental health team to ensure complaints are dealt with promptly and action taken if

necessary.

COMMUNITY LIAISON

Community liaison forms part of the event organisers role There will be a dedicated point of contact for local residents, businesses and community groups for the event. During the events tenancy on Clapham Common a Residents Hotline will be set up for local residents and businesses to contact the organisers. This landline number will be communicated via a resident letter, that will be distributed pre- event, and it will be displayed on the Electric Winter website. The community liaison email address is electricwinterinfo@gmail.com. This address can be used throughout the year to contact the event organisers with any enquiries relating to the event. A letter will be sent out to Local Residents containing event information and details on how to contact community liaison. Local Business In the lead up to the event the community liaison team will liaise with the local forums and community groups, that represent a large number of local businesses and park users, to discuss the event plans and opportunities to get involved.
