Who is Colin James?

Over the past 25 years Colin James has worked with senior executives around the world and has deep experience working with groups both large and small, taking cultural diversity and the variety of delivery platforms in his stride. From a young age, Colin’s dream was to be a teacher and he realised that to be an efgective and engaging teacher he needed a key skill and that was to master the art of communication. To identify what constitutes excellent communication he studied the best communicators he could fjnd. He studied the way that they held the attention of their audience and how, regardless of the content, they had the ability to deliver their message in such a way as to profoundly infmuence the way people think, act and behave. As a result of his training and experience over the past 25 years he has developed and delivered the Mastering Communications Advanced Program to corporations, leaders, trainers and facilitators all over the world. How do you carry yourself when you present? Do you know? If you don’t know, we recommend getting videoed or good feedback from colleagues. The 4 key elements to having perfect Physiology: There is much to learn in each of these four elements so, for now, let’s focus on posture and how you can present more efgectively, particularly in your seat. If you are going to be facilitating, managing a meeting, or conducting a conversation – lets pause to consider what your posture should be like. There is something called the physiology of excellence and it applies to all communication contexts. So what does it look like?

The Rule of 3

Walk in with an upright posture, as if there is a thread running from the crown of your head to the ceiling, squared shoulders, relaxed jaw, steady breath and a relaxed but fjrm pace. Seat yourself, be aware of your surroundings and making relaxed eye contact with everyone already in the room. Your back should rarely touch the back of the seat, which eliminates the risk of your posture collapsing or you being tempted to slouch. Have your hands visible, on the table or chair-arms, this portrays trustworthiness to everyone in the

  • room. Avoid fjddling with pens, devices etc. keep them steady and still until you wish to use them to

emphasise a point. Try this at your next meeting and notice the difgerence in attention and engagement that the physiology of excellence

  • generates. You can of course adjust and apply the Rule of 3 to any other communication context.

Professor Ray Birdwhistell, famous for exploring the efgectiveness of communication, suggests that tonality accounts for more than half of the meaning of communication, he suggests that when you listen to somebody present content, it’s actually the tonal element that gives a deeper meaning, resonance and value. So how do you harness this and use it to your advantage? One of the biggest pit falls of the presentation

  • r facilitation experience is a monotone voice. The voice that sounds fmat with little variation. A monotone voice comes out of a monotone body and so the

more you move your body, the more your voice will move. Your voice is a result of the percussive airway that comes out of our heads and hits the eardrums of your listener. It’s the voice that becomes the key component to the experience people have in communication. Have you ever listened to a radio announcer who has a perfectly pitched voice? Building the right voice tone for your presentation requires 3 essential elements:

Try this quick little experiment:

  • 1. Say a sentence in a monotone robot-like voice, as if you were talking like a machine, “This will make a big difgerence to the

way we work.”, without moving your body.

  • 2. Now couple the statement with a gesture. Hold your hands out in front of you in prayer position repeat the

sentence and on the word “big”, open your hands wide while maintaining the monotone voice, see what happens... What happened to your voice when you moved on the word “big”? Did your voice follow the movement? Whether you are seated in a meeting, on a teleconference, or behind a lectern on stage, physical movement will support the words that come out of your mouth to deliver your point energetically and increase engagement. Try it out and see what happens.

When this happens in a presentation or meeting, you will truly have people fully engaged and they are more likely to fjnd it memorable and meaningful. Today, the whole notion of visual support for your communication has sadly been reduced to decks of PowerPoint slides. PowerPoint slides used artfully can enhance a presentation however the

  • ver-use of them can remove your audiences’ opportunity to create their own experience from your presentation. Add richness, variety and visual interest

to your next presentation by exploring:

  • Drawing
  • Colour
  • Using the ‘build’ function

in PowerPoint or Keynote

The purpose of visual aids is to aid the learning, understanding and experience by creating a richer and deeper response to the ideas that are being presented. In your next presentation try moving away from the reliance on large PowerPoint decks of the ‘heading, bullet point, bullet point, bullet point’ variety and start thinking of visual aids in a far more creative, more dynamic way. Keep people engaged by building the story visually. Take your audience on a journey by unveiling the ideas. Yes, it will take a bit more time but it is for the benefjt of the audience each and every time, so build.

Energy is what connects the emotional sectors and vectors of the body. Whether you are in a one on one conversation, in front of an audience or you are an audience member, you’re always picking up (or sensing) if someone is coming from genuine intent, is a positive or negative person or if they’ve embraced confjdence. We can talk ourselves into a state of anxiety, depression and fear. Harness and control your negative self talk by: This is what happens with true confjdence. When you are really confjdent and in an easy fmowing state... do you know what is going inside your head? Nothing! It’s quiet. This emotional state allows confjdence to emerge naturally, combine it with positive intention, emotion and humor and you can harness the world of energy.

  • 1. Identifying - Listen to the message
  • 2. Objectifying – Imagine it’s a message from someone we don’t respect and discard it.
  • 3. Managing - Choose an alternative, supportive message instead.
  • 4. Banishing – Tell the old message to disappear.

Take a moment now and ask yourself… What is confjdence? Is it self-assuredness, posture, self-belief, trust, previous experiences or success? Yes, these all are factors contributing to confjdence but we need to recognise that confjdence is not only a feeling, confjdence is a skill and that you can access confjdence at anytime, at your own will. Here’s how… Access the posture of confjdence Stand tall/sit up, head up, deep breaths, move fmuidly, less tension in your shoulders and cue your body to go into a confjdent state, which will tell your un- conscious mind ‘I’m in the state of confjdence’.

So here’s a quick tip to creating the highest quality attention:

If you want the person or persons you are communicating with to pay attention and really engage with you then pay full attention to them with an attitude of interest and curiosity. If your full attention is focused on the other person it sets up reciprocation, establishes natural responsiveness and will automatically create the best environment for communication to fmourish. It sounds simple…but it’s isn’t so easy to sustain without vigilance. Try it at your next meeting and ask someone to observe you and give you feedback.

The best storytellers efgortlessly connect seemingly disparate content in a way that is meaningful. In fact, in a way that is magic. As a human being, whenever we get together and talk about where we have been and what we have been doing, what do we do? We tell stories and we all love stories. Here is a simple 3 part magic formula that you can take and apply today;

  • 1. Relate to an incident - Situation, time, weather, location (specifjcs)
  • 2. Just enough detail - Get to your point quickly and elegantly
  • 3. Link to message - Connect to the outcome you are trying to impart

Stories are fundamental to your communication capability. Listen for them and start building your library of stories to employ in every conversation. Now you’re probably thinking, “I don’t have time to include stories. I have got to get through my content”. What we need to recognise is that the content is only meaningful in the context of story. It introduces the ability for a person to relate it to their world and shows human interaction and human application of your concept.
