  3. Pre-event Virtual Events • What is the event? Is it a Happy Hour, a book club, a game watch, a cooking lesson? Tap into members of your club or locals to help • Choose a virtual platform (Zoom, Facebook Live, Instagram Live, webinar) • Determine if it would help to connect the event to social media • Identify the host. This could be the club president, a member that is outgoing or the person leading the event, discussion, class, etc. • Select date and time, considering what will work best for the target audience • Write copy, scripts, etc., if needed. Secure a bio or intro for the guest speaker • Promote! Utilize all social media platforms, email, etc. – whatever will get the word out

Day of the event Virtual Events • Log on 20-30 minutes before the event begins • Confirm security settings are in place • Record the event (more applicable for a guest speaker or demonstration) • Introduce the host and if applicable, make sure to make them a co-host so they will be able to screen share • Be mindful of the time

Post event Virtual Events • Thank the host • If recorded, add link to your social platforms, newsletter, etc. so others can access the event at a later time • Send out a survey to those who attended. Survey Monkey and Doodle Poll both offer a free survey option • In the survey, ask participants to share what types of programming they are interested in, what they would like to do and/or learn, and what days and times are most convenient

Social Media Tips • Instagram is most popular with young alumni • Facebook is where an older audience is, however, young alumni are still on Facebook • Aubie, The Creed and the eagle are always safe bets for posts • Posting content on a regular basis will keep social media pages relevant • Interactive posts keep alumni/friends engaged • Reposting content from the alumni association and/or the university is encouraged • Stay positive

Handling con ontr troversy a and con onflict • STAY POSITIVE • Remember, YOU are a representative of Auburn University • Support the university • Look for, or ask for, an official statement from the university or alumni association • Try to diffuse the situation • Do not stir the pot • Do NOT engage in arguments, especially on controversial subjects. Forward any concerning posts or comments to the alumni association • Post positive content to counteract the negative • Contact Kate Larkin if issues persist

  8. Virtual event ideas • Virtual Bingo through Bingo Baker; less than $20 https://bingobaker.com/ • Virtual scavenger hunt. Offers a free option www.goosechase.com • Virtual wine/beer tasting. Is there a local brewery or winery that could be featured? One school had a local winery do a tasting and charged $20 per registrant, which included four samples • Virtual 5k • Morning Mixers – grab your favorite coffee or tea and meet new people via Zoom. Groups can be separated into Zoom rooms by topics, ages, interests or any other way you want to break down participants – or of course, you can all stay together. Great networking event • Most important thing to remember is, more doesn’t necessarily mean better. Figure out what your group really wants to do and focus on that to help create a sense of community
