Introduction This use case is designed to help organizations reschedule appointments that had to be canceled due to the COVID-19 pandemic in order to help reduce initial workload as the organization begins to return to normal operations. Making use of SimplyCast’s Email channel and Form Builder, in conjunction with its automation technology, appointments in need of rescheduling can be determined and rescheduled for a new date.

  3. Appointment Rescheduling Smart Flow

  4. Appointment Cancellation Due to the COVID-19 pandemic, many businesses had to cancel their scheduled client appointments in order to comply with public health orders. To begin the process of rescheduling these appointments, businesses can launch an automated smart flow at a specific time for their list of contacts with canceled appointments.

  5. Rescheduling Email Clients will receive an email apologizing for the need to cancel scheduled appointments and offering the opportunity to sign up to have someone from the business reach out to reschedule once restrictions have been lifted.

  6. Rescheduling Details Clicking the button in the email will direct clients to the Appointment Rescheduling Form, where they can provide details to be used when someone from the business reaches out to reschedule the appointment.

  7. Follow-up Tasks Submissions made through the form can then be sent automatically to a designated staff member to allow for follow-up.

  8. Reminders If a client does not initially click the button in the email for the signup form, they will be put into a Delay element in the smart flow and will receive a reminder email after a specified length of time to provide them with another opportunity to reschedule.
