Best Practice: Using Technology to Address Student Attendance (9/15/15) The instructions below explain how to use Infinite Campus to create elementary attendance letters:

• 1. I created letters for day 3, day 5, and day 10. To create your letter, do as follows: Go to index and click on

attendance letter and you will see the picture below

• 2. Then click New letter
• 3. We will create the five day letter, type in as shown below:
• a. Name: 5 day letter
• b. Unexcused: 1
• c. Qualification Criteria for letter : 5
• d. Save

Note: For the 3 day, the qualification criteria would be 3 and for the 10 day letter – 10.

• 4. Then click Letter Format

You can copy and paste a letter from word. At the top of the page you will see F and S. These are campus fields that you use to merge the information from campus onto the letter, such as the student’s name. The fields I use for attendance are whole/half day summary. If you want it to show excused and unexcused, you can do this several different ways. I built a table and entered the fields into the table. See my letter below. According to Bibb County Board of Education Attendance Policy, students in grades K-8 will not be promoted if they have more than ten (10) unexcused absences in a school year. Students who demonstrate a pattern of absences and tardiness shall be referred to the Office of the School Social Worker for counseling and appropriate intervention that may include a charge of truancy being filed against the parent and/or student. Please notify us if your child is sick and cannot be present. If it is an excused absence, documentation will need to be provided to the school within 3 days of the students return to school. • 5. Once you have created and saved your letter, go back to the index and …..

• a. click attendance letters
• b. click on the letter
• c. click preview and print letters
• d. Click preview letters to get a list of the letters and to preview the letters.
• e. Click print letters to print letters. You can also choose how to sort your letters. On the red area that says

contacted by, I always scroll down to my name. Update PLP log, I choose yes. Then print letters.
