In brief  The Commission will finance 20 Copernicus hackathons every year in Europe, with up to 20,000 euros per hackathons  The objective is to stimulate the generation of new Copernicus applications, while reinforcing the Copernicus ecosystem at local level.  We strongly encourage the Relays and Academy to apply (first cutoff: July 9 th )

The hackathon concept  A Copernicus hackathon is an intensive programme (typically over a week-end) where several teams compete to deliver the application based on Copernicus.  EO, business and thematic experts shall collaborate and learn how to use Copernicus data.  Each organizer is free to choose the thematic area of the hackathon (e.g. agriculture, sustainable development, forestry, raw material…).

  5. What we offer  The Commission finances 85% of the costs, up to 20,000 euros  The winner of the hackathon is given a ticket to the Copernicus Accelerator  The organiser of the hackathon receives regular support from AZO, the programme manager (through templates, advice…).

What is a Copernicus Hackathon?  A Copernicus hackathon is an intensive programme whereby several teams collaborate and compete to deliver the best application based on Copernicus data and services.  A Copernicus Hackathon is a coding experience during which Copernicus data is actually accessed and used. The expected output of a Copernicus Hackathon shall thus go beyond mere concept presentations.  The teams shall gather in the same place for a minimum of 24 hours and maximum one week. Please consider that more mature results can be achieved in longer events.  Each organizer is free to choose the thematic area of the hackathon (e.g. agriculture, sustainable development, forestry, raw material …). What is the role of the organiser?  The organiser is responsible for all event logistics incl. venue, catering, equipment, coaching, accommodation for non-local participants.  The organiser shall develop an active communication and networking campaign to maximize the number of participants to the hackathon, incl. an event website for registration.  The organiser shall appoint a jury, to select the best team at the end of the Hackathon.  The organiser is responsible for providing the teams with access to relevant coaching and IT infrastructure (hardware, software, API …) so that they can easily access and use Copernicus data. → use of DIAS. Which support will organisers get?  For each hackathon, the European Commission will finance 85% of the organizer’s costs, up to EUR 20,000.  Eligible costs need to be directly related to the organisation of the event, e.g.: – Venue (renting a location where to host the hackathon) – Catering (drinks and beverages eligible to be served on the days of the hackathon) – Equipment and supplies, in particular IT (servers, cloud services, software licenses ….) and other technological expenses – Travel and accommodation of its own staff and reimbursement of the participants to the hackathon – Communication and promotional activities – Prizes to support the winning teams – Employee-related costs In kind contributions are not eligible.  Each hackathon winner will get direct access to the Copernicus Accelerator 2018 or 2019. Which support will organisers get?  The Coordinator will support the organisers in achieving the best possible outcome of the hackathon, e.g. holding weekly jour-fixe calls and by providing templates and check-lists for the following items: – for the organisation of a hackathon incl. terms of participation, registration form, agenda, event logistics (venue, catering, etc.) – for relevant activities to be organised during the hackathon, e.g. business or technical workshops, supporting programme – on potential speakers and trainers for the hackathons – for the evaluation, e.g. advise on the composition of a selection board, standard NDA – for the promotion, incl. styleguide, website structure, flyer templates, etc. Presentation Title

Who can apply?  Any organisation registered in Copernicus Participating Countries (EU28 + Norway and Iceland) can apply to become a Copernicus Hackathon organiser via the permanent open call.  Applicants need to have demonstrated experience in support to innovation and need to present a network of partners and experts to support the hackathon onsite  Applicants should also demonstrate their own marketing and communication channels to promote the hackathon.  Applicants need to be willing to co- finance at least 15% of the hackathon’s costs.   15. What is the selection process?  The first application phase is open until 9 July 2018 at hackathons.copernicus.eu  Applicants shall submit a written proposal (max. 10 pages) outlining the event overview and logistics, the chosen topic and target group, involvement of partners, provision of technical support, budget, experience with similar events and relevance to Copernicus. Template available after registration.  A jury will confidentially evaluate the submissions and applicants will be informed on 16 July 2018 about the outcome of the selection process.  Approx. 10 organisers will be selected after each cut-off date, depending on the quality of proposals received (max. 13 per semester and max. 20 per year). Evaluation criteria  Expected number of participants to the hackathon and quality of the support and training provided to them.  Involvement of relevant partners from the Copernicus eco-system (universities, large companies, start-up support programmes, research centres …).  Experience in promoting Earth observation programmes.  Weighted with 1/3 each.   17. Timeline 2018  All Hackathons must be implemented within 12 months after selection. However Hackathons that intend to provide a seat in the Copernicus Accelerator 2018 to their winning teams, need to be held before 15 October 2018. Presentation Title
