A HAZARDOUS MATERIAL as defined by
the Hazardous Products Act is a controlled product, material, or substance specified by the Controlled Products Regulation and included in any of the following six hazard classes.

Workplace Labels
- Workplace labels are to be used for any products
that are decanted from one container to another container.
- You can obtain blank workplace labels from your
Supervisor and fill them in or print them directly from the MSDS on-line database.
- It is also acceptable to label the bottle or container
using a permanent marker provided that all the required information is included.
- Workplace labels can also be used if the supplier
label has been accidentally removed or defaced.

Health and Safety sends out updates in January,
May and August
- Caretakers (or maintenance staff) are only
responsible for updating the caretaking binder when they are sent new and/updated MSDS from Health and Safety. In elementary schools the Principal is to assign the responsibility for updating the other binders to someone in the office and, in secondary schools, the responsibility lies with the office staff (general binder) and the teachers in the respective subject areas.

Applying the Updates:
- 1. Find the binder corresponding to the package received … e.g.,
GENERAL (Office), Science, Art.
- 2. Replace the old TITLE PAGE and INDEX SHEETS with the
new ones contained in the update package – Numerical & Alpha indexes.
- 3. Remove any ARCHIVED SHEETS based on the LIST of
REMOVALS provided in the update package [these sheets can be discarded].

- 4. Apply the UPDATES by replacing any outdated
MSDS with the UPDATED version from the package using the CIRCLED # in the upper right hand corner
- f each MSDS as the identifier - this is referred to as
the Internal File #. MSDS sheets should be kept in the binder in numerical order by this Internal File #. Keep in mind that the CIRCLED # is only on PAGE 1 of each MSDS sheet and some MSDS’s consist of multiple pages. Discard all removed sheets.

- 5. Sign and date the receipt confirmation letter.
For Elementary Schools, the GENERAL, ART & SCIENCE
binders should be filed in the MAIN OFFICE.
For Secondary Schools, please indicate where the binder is
being placed and the appropriate contact person. Please ensure that staff is aware of these MSDS updates and where the binder is located.

- 6. Send a copy of the receipt confirmation letter to
Health & Safety. NOTE: if the confirmation letter indicates a FULL REPLACEMENT set, the current binder contents can simply be removed and replaced by all sheets in the package.

A completed MSDS binder should contain:
A TITLE PAGE that identifies the subject department A NUMERICAL INDEX sheet of chemical inventory An ALPHABETICAL INDEX sheet of chemical inventory All MSDS listed on the index sheets sorted by internal file # in
the binder (# is found on the top right corner of the MSDS sheet) Index sheets are color-coded as follows: May (PINK index sheets), August (ORANGE index sheets), January (BLUE index sheets)

WHMIS Review
Read the MSDS before working with a product to ensure that you
know how to safely use, handle and store the product.
Never mix chemicals, only use products for their intended use. Know when personal protective equipment is required and where
it is located at your school. The MSDS will tell you what personal protective equipment is required. Never change the type of personal protective equipment stated such as “rubber gloves for vinyl”.
Know where spill kits and first aid kits are located at your school.
Teachers are responsible for cleaning up small spills of chemicals used in art, technology or science. For large chemical spills, call
- 911. Also, contact Health and Safety at 2343 to make
arrangements for proper disposal of the liquid hazardous waste.

WHMIS Review cont’d
Consumer products are included on the chemical inventory found at the front of each MSDS binder. We obtain MSDS for these products even though they are not required. They will appear as “INFO” under the Product Control section on the Chemical Inventory.
Only Board-approved consumer products are permitted in our schools unless they are personal care products such as hand cleaner and only being used by the individual who brought it in.
It is not a caretaker’s responsibility to store or dispose of hazardous liquid wastes generated by art, technology or science classes. Materials may be stored for safety reasons in the bunker or exterior storage area until picked up. Teachers are responsible for transfer of the waste and must have the appropriate spill containment materials.
A MOL inspector may visit your school and assess your knowledge and understanding of WHMIS and/or access to the MSDS binders.
