Overview

  • The process
  • What it looks like
  • Some of the functionality
slide-3
SLIDE 3

The process

  • The old eportfolio needed updated
  • Functionality requirements have changed
  • The need for a platform to last a person’s career
  • RCOA wanted to design something form the ground up
  • Ability to make changes based on user feedback
  • Nomensa appointed
  • College team with input engagement events, testing and feedback
slide-4
SLIDE 4

Who will be able to access the LLP

  • Any RCOA member who wishes to log training
  • Includes clinical fellows, SAS grades
  • In the longer term LLP will replace the CPD on line diary for career

grades (this functionality has not yet been developed)

Significance of setting placements in ESSR

  • Placements will automatically

populate into the ESSR and in the future into the ARCP forms

WPBAs

WPBA

slide-12
SLIDE 12

WPBA

  • A trainer will have the option to

remove some of the selections if people appear to be selecting too much

CUT forms

slide-15
SLIDE 15

Annex G

  • Annex G evidence can be added

under the non-clinical tab

  • The advice is that a CUT should

not be generated for these domains until nearing the end of training.

SLIDE 17

MSF

  • Lots of changes to the process but not the questions
  • MSF title-probably best to attribute to the training year
  • Can keep the MSF running for the entire year and add assessors as you

change departments/hospitals

  • Allows MSF to be done contemporaneously
  • List of assessors does not require approval although supervisor can make

comment or send MSF back if unhappy with it

  • Supervisor can review it before closure and trainer sees who has said what

but trainee only sees anonymised comments that supervisor can edit

  • Trainee can request MSF closure-avoids the ARCP panic!
  • College tutor can also see MSF
slide-18
SLIDE 18

Personal activities

  • Can add personal activity to competencies/curriculum eg ALS

certificate to Management of Cardiac arrest

  • Supervisor meetings can go here
  • Logbook can be added as a personal activity
slide-19
SLIDE 19

Logbook-Integrated into the LLP

  • Also includes

ICU/Pain/Procedures/Sessions

  • Sessions eg. ICU/Pain

mornings/afternoons etc.

  • ‘Procedures’ taken from

curriculum

  • ‘Sessions’ useful for Consultants

in the future for job planning

slide-20
SLIDE 20

Logbook– What’s changed?

  • Times/ duration
  • AM/PM/Eve/Night
  • Reduces scrolling/ simplifies

data entry

slide-21
SLIDE 21

Logbook– What’s changed?

  • Deanery/school – auto-

populated

  • Placements – defaults to

current placement, but user can change (if not at usual hospital)

  • Personal reference: this

groups logs (eg. seeing the same patient)

  • Drop down menu fixed

(college controlled) to avoid ‘thoracic epidural and epidural thoracic’

  • No longer free text option for

‘Cases’, but can add by emailing the College (if reasonable request)

  • Option to write notes within a log.

It is searchable/can filter (e.g. BMI > 50)

  • Levels of supervision unchanged

for case but also now includes details on ‘Procedures’ and level of supervision for a specific procedure

slide-22
SLIDE 22

Review Logbook

  • Download full logbook: excel spreadsheet
  • Can also filter logbook by
  • Date
  • Notes (eg BMI > 50)
  • Logbook type (eg Anaesth, ICU or Pain)
  • Download Summary Report (familiar ARCP logbook report generated)

as PDF

  • A web app will allow you to start a case on line and then if off line you

can still complete it

  • No app as yet although the developers are aware many want this
slide-23
SLIDE 23

Trainers – Review trainee logbooks

  • Go to ‘Supervising’ tab
  • Click on trainee
  • Interrogate trainee logbook for CUT or ESSR forms
  • Trainer can search/ filter logbook in depth
  • In addition to looking at the Summary report, if desired
slide-24
SLIDE 24

ESSR

  • IPRs have gone
  • Can generate several ESSRs in 1 year
  • Auto-populates with logbook, placements etc
  • Still being developed
slide-25
SLIDE 25

Implementation

  • Much more intuitive than current e-portfolio
  • ‘How to’ Webinars
  • Saved webinars
  • Online help guides
  • RCOA website (being redesigned)
  • Basecamp
  • TOPdesk help desk/portal (24h)
  • Email/phone
slide-26
SLIDE 26

Implementation

  • From August 2018
  • All new CT1s
  • All new ACCS CT1s
  • All ACCS CT2s
  • All new ST3s
  • All new ST5s: the trigger for the change for these individuals is the college

receiving the ILTC

  • Those entering CT2, ST4 and ST7 in August as full time trainees will

remain on the existing eportfolio as they are expected to complete a training grade by August 2019

  • All other trainees-will double run
slide-27
SLIDE 27

Transitioning

  • All trainees have been told to download their current eportfolio-ZIP

file created likely around 20MB

  • Maximum upload per document is 2 MB
  • Could screenshot assessments and upload as personal activities
  • If a CUT completed-load as a personal activity
