  4. Goals of the subcommittee Organize the yearly congressional visits on the HEP DC trip. Budget, logistics, meeting assignments, training, etc. Participate in a community e ff ort to develop outreach materials . Interface with other users organizations to develop a cohesive message from our community to Congress. Oversee and plans continued advocacy e ff orts throughout the year to complement the trip to DC.   5. Importance of advocacy We have the privilege to advance the fundamental knowledge and understanding of the Universe, and we do so with support from taxpayers , through Congress. It is both a privilege and a responsibility to communicate our successes, our plans, and goals for the future as a community. Outreach and advocacy is essential to inform and engage our elected representatives in the science that we do and the impact it has for the United States. F Ψ 5

  10. Washington HEP Integrated Planning System Much of this year’s success was thanks to the WHIPS Web- based tools aimed at automating much of the trip logistics. Trip attendees and connections to congressional districts. Automated and optimized meeting assignments Centralized forum to monitor and schedule open meetings. F Ψ 10

  12. 2018 Trip Training The outreach subcommittee helped with the development of materials for training. Next year, the plan is to engage the veterans in the training in the following categories: Trip logistics. Talking to congressional sta ff ers Communicating scientific concepts. Using the provided materials e ff ectively. F Ψ 12

  13. Plans for the upcoming trip: Increasing our database of potential attendees. Optimization of trip attendees to maximize coverage. More WHIPS development, secondary assignment improvements and more! Record-keeping of trip outcome, o ffi ce history, records for meetings with funding agencies. F Ψ 13

  15. Contributing in the short term: Surveys for potential attendees are underway! A complete database is necessary to optimize coverage with the slots we have available. UEC members are encouraged to propose trip attendees. Think about the following qualities: Strong ties to the community. Ability to communicate with non-scientists. Contribution to diversity of the attendees (career paths, age groups, career stages, political views). Trustworthy for appropriate, message-focused interactions. Connections in areas of low coverage.   16. Cost-e ff ective travel budget: Survey of new and returning attendees will allow us to budget more e ffi ciently. F Ψ 16

  17. Contribute as a subcommittee member: We have a lot of input and new ideas to implement this year. 100% coverage is attainable and should be our goal for the coming year. Work for the coming trip has already started. Ideas for improvement can not come early enough! The next few months are the most packed for this subcommittee.
