  4. DATA COLLECTION NEWS Mid-Week Announcements made every Wednesday in Data Collections and Reporting Community – Be sure to have STN administrator signed up and receiving. Information on opening and closing of Collections along with news of updated layout postings. 4

  5. AD – Additional Student Info • Opens (May 5) • Required Public, Charter, IN School for the Blind and IN School for the Deaf • Submit student data to complete the information on the student groups of high ability and homelessness during the school year. 5

  6. AT – Attendance • Opens (June 3) • Clean-up and Sign Off (July 18 th ) • Required Public, Charter, Accredited Programs, IN School for the Blind and IN School for the Deaf • Determining Accountability for Field 9 6

  7. CE – Certified Employees • Opens (May 5) • Required Public, Charter, Nonpublic, Non-state accredited Nonpublic CHOICE Schools. (Optional to submit non-certified staff.) • Submit years of experience based upon actual years of experience; not pay scale (must have 120 days to count as one year of experience). 7

  8. CC – Course Completion • Period 2, Opens (May 4) Yearlong courses cover two reporting periods. You • will report students once for each collection period. On the first collection period, report students who have completed course with the grade received by the end of the semester. For the second collection period, report student once who has completed along with last grade awarded. The report results will include number of students completing a course, the courses taken, and semester grade. 8

  9. CC – Course Completion • Anything New! • NOTE: CC, CP collections, period 1 reopened to accommodate requested changes through Restricted File Transfer. Changes will update EE (Educator Evaluation) report. • Contact STN_Support@doe.in.gov to submit Period 1 “C” Collections Request form. 9

  10. CP – Certified Positions • Period 2, Opens (May 4) • Submit the positions on employees employed during the academic school year. • Each Corporation or other entity must have at least one corp level administrator • Each CE/CP record must have a matching record 10

  11. DT – Dual Credit Completion • Opens (July 31 st ) • Submit data on the number and type of courses for which students obtained dual credit. (i.e., where the student obtained both high school credit and transcript course credit from a college or university.) • Only courses approved by DOE for Dual Credit reporting are to be submitted (2014- 2015 List of Subject Codes) 11

EE – Educator Evaluation Results • Opened April 14 th . • Submit data to allow schools to identify student-to-teacher linkages that will be used to assign student Growth Model scores to teachers for the purpose of educator evaluations (IC 20-28-11.5) • Each public corporation is required to submit EE. 12

ER – Educator Evaluation Results • Opens October 2015 • Submit data to collect final summative rating on each educator in your corporation as required by (IC 20-28-11.5-9) • Required Public and Charter Schools • SPN must exist in the DOE-SPN Lookup and in the CP (Certified Position) report. 13

  14. ES – Expulsion & Suspension • Opened (Mar. 11 th ) • Important! Any suspension or expulsion involving handguns, rifles, shotguns or other firearms (reason codes 04, 05 or 06) will require the description of the firearm used to be reported. The Firearm Verification Form will be available in the Application Center under Data Verification. 14

GR – Graduate • Opens (May 20th) • For students not earning a diploma (Codes 6 and 7 in field #4) use Code 6 only for Field #3. • Graduate record must be submitted for Special Education Students prior to submitting a TR (termination record) • 2014 Grad Rate Audit – Email to GradRate@doe.in.gov 15

  16. LM – English Learners & Immigrant Students • Collection Opens November (submission & sign-off) • All EL students to be assessed; IEP cannot prohibit assessment see Scenarios on layout for clarification • Foreign Exchange students must be submitted. 16

  17. LM – English Learners & Immigrant Students Anything New! • Changing the Prof. Levels to report 3 characters (1.0-6.0) with different levels. (1.0-1.9, 2.0-2.9, etc.) = Field #4. • Changing the Prof. Level 6 = Native English Speaker to be reported as NES (3 characters) = Field #4. • Instrument Used; 5 & 6 will be renamed for WIDA (no new codes) = Field #5 17

  18. PE – Pupil Enrollment – Impacts ? This set the Corporation’s 2018 • cohort This is the Corporation’s • enrollment counts published on IDOE-Compass This is the Corporation’s SES • published on IDOE Compass 18

  19. EV – Special Education Evaluation For All Public Schools (Traditional and Charter) providing Special Education services • Opened Wed., April 1 st . • Special Education services started and/or closed during the 2014-2015 school year. 19

  20. EV – Special Education Evaluation Anything New! • Updated Field #5 from “Referral”, to “Initiation Date / Referral Timeline” • Updated Field #10, Code 7 Timeline Compliance, Code #7 = Missed. • Updated Summary Report to include update. 20

SE – Special Education For All Public Schools (Traditional and Charter) and State-Operated Schools providing Special Education services • Period 2 Count Day and Open Date is Wed., April 1 st . • Submission phase closes April 17 th at 8 a.m. • Clean-up phase closes April 24th at 8 a.m. • Sign-off only ends April 25 th at midnight. 21

SE – Special Education Anything New? • Validation of Developmental Delay Exceptionality to Grade Level • Definition of ED Full Time vs. Other - Full Time = more than 50% of day receiving services and Other = less than 50% of day receiving services • Field 8 removed – no longer collect type of facility 22

  23. TR – Special Education Termination • For All Public Schools (Traditional and Charter) Schools providing Special Education services • Required collection, sign-off, and cleanup phase opens May 15 th at 8 a.m. • GR record must be submitted prior to TR record. 23

  24. TR – Special Education Termination Anything new! Do not report students who are transitioning from • preschool special education services (PK) to school age special education services (KG). The only preschool students that should be included in this • collection are preschool students who will not be receiving special education services as a school age student. Field 6, add #7 to Definitions of Reasons for Termination = • “Moved.” 24

RT – Real Time • Students are to be reported by the school or program where they are attending • Any PK student participating in a class should be included on RT • Students Accountability School does not always equal reporting/educating school • Check accountability list in STN App Center under data verification>reports>real time accountability 25

Overview of Future Changes for 2015-16 DOE-RT-Access (DOE-RA) • – New Field #5 – exit date – Updated Data File Formats DOE-ES (Expulsion/Suspensions): • – New codes for reporting Bullying incidents (no longer will be reported separately on another form) – This will include all Bullying; not just those that result in ISS/OSS/EXP – New codes for reporting Gang Related incidents – New codes to report Arrest Data (no longer will be reported separately on another form) DOE-AD (Additional Student Information): • – New field to report students with parent/guardian serving in any active duty branch of the Armed Forces – This will be a simple Yes/No field
