  2. Brief introduction The Parents’ Evening Booking System is the future for school parents’ evenings, tutor events and consultation events. We make staff time much more efficient while helping schools with their parental engagement, communication and school improvement targets. We also save schools money and help customers be paper- free and more eco-friendly. Schools are provided with the statistics, reports (e.g. who has not booked yet) and communication tools required to run events better than ever and connect with parents, who are encouraged to take ownership and make their own appointments. All users (parents/guardians, teachers and school staff) visit our website Schools • import their M IS database (pupils, parents and teacher data) directly into the software to set up accurate events quickly • all booking, reporting and communication tools are made available to colleagues • tools to help schools collect parental e-mail addresses can be activated Parents • are sent an invite to login and make their appointments at times that suit them • have a ‘Booking Wizard’ which allows them to make all their children’s bookings in one click • can identify concerns or issues ahead of their appointments, and/ or suggest discussion topics to teachers Teachers • can be allowed to control their availability and set their breaks in advance • can e-mail parents a private message that will also appear when the parent logs in • can check and print off their appointment schedule at any time Students • no longer make appointments, saving classroom/ teacher time and allowing structured, better prepared-for schedules which suit parents

Benefits for parents and guardians • Parents are sent an invite to make appointments online o Regularly this will be an e-mail or text, and if received on a smartphone or tablet will allow the parent to go straight in and make bookings in a few clicks • Parents and guardians make appointments at times that suit them • Parents generally use the automatic Booking Wizard to make appointments in the most efficient way available o Parents can choose to pick their appointments one by one if they prefer • Parents can toggle between their children at the click of a button • Parents cannot double-book themselves • Parents can tell teachers of discussion topics or issues ahead of the meeting o This leads to better prepared and more effective meetings. • Parents receive an e-mail or print a confirmation of their appointments • Parents may be sent a priority message by a teacher in advance • Parents may also be sent an appointment reminder by the school

Benefits for teachers and staff • T eachers don’t need to make or manage bookings. o Classroom/ curriculum time is saved • T eachers are better prepared for meetings because they can read issues or concerns submitted by parents in advance • T eachers can check their appointment schedules online, any time • Where permitted by the school, teachers can change their availability, creating their own breaks or starting earlier and leaving later than the ‘default’ hours • T eachers can make private notes beside appointments to take or keep notes • T eachers can send parents an e-mail/ message which they will pick up before they book o e.g. “M ake me a priority booking please” message could be sent to a parent • T eachers can be kept out of the loop completely if the school want o The school can print off all teacher schedules and distribute them, meaning staff never have to login and the task can be kept as an office one

Bolt-on: Event Bookings • Add our new Event Booking bolt-on to your school’s package to take booking for events online. • Set up events with multiple show/ date options in minutes • Parents can book places, seats and/or tickets for any school events. • Schools can invite parents electronically and see who has and has not booked at any time. • Parents can print their tickets, or e-mail a PDF to themselves to show on the door on the night.

We help on the phone and out of office hours • An automatic booking wizard for parents • The ability to upload your data via ‘1-click/ Web Services’, but also via Spreadsheet/ CSV as a backup • Flexibility to change your teachers and the classes they teach INSIDE the software, at the click of a few buttons. Y ou don’t want to have to change your timetable or classes in your MIS and have to re-import data to change some teachers or class, for example • Communication tools for parental engagement (i.e. invites, follow-ups, reminders, staff-to-parent messaging system)
