  10. Green Purchasing Best Practices: Imaging Equipment Why Buy Green Imaging Equipment? HEALTH AND ENVIRONMENTAL BENEFITS • Save energy, reduce greenhouse gas emissions • Minimize toxic chemical emissions into indoor air • Protect forests by reducing paper consumption - Paperless document strategies - Making duplex copying easier - Choosing equipment that uses recycled paper without jamming • Avoid virgin material use www.ResponsiblePurchasing.org 10

  11. Green Purchasing Best Practices: Imaging Equipment Why Buy Green Imaging Equipment? ECONOMIC BENEFITS • Reduce electricity consumption (ENERGY STAR) • Lower equipment replacement costs, storage space (MFDs, networked equipment) • Reduce paper costs (purchasing, storage, mailing, disposal) • Lower toner/ink costs (factor in upfront, better fonts, choose remanufactured and high-yield products) • Job creation (remanufacture of equipment/supplies) • Lower disposal costs (equipment take-back, leasing, print services) • Secure LEED and AASHE Stars credits www.ResponsiblePurchasing.org 11

  12. Green Purchasing Best Practices: Imaging Equipment POLLING QUESTION #2 Has your organization or jurisdiction included specifications for EPEAT- registered electronics in any of your bid solicitations? VOTE NOW www.ResponsiblePurchasing.org 12

  13. Green Purchasing Best Practices: Imaging Equipment Specify EPEAT-Registered Imaging Equipment • Electronic Products Environmental Assessment Tool (EPEAT) • Multi-attribute certification for electronic equipment • New standard and registry for imaging equipment established in January 2013 www.epeat.net www.ResponsiblePurchasing.org 13

  14. Green Purchasing Best Practices: Imaging Equipment Specify Imaging Equipment That Can Easily Make 2-Sided Images Using imaging equipment with auto-duplexing enabled can cut paper consumption by 40%. www.ResponsiblePurchasing.org 14

  15. Green Purchasing Best Practices: Imaging Equipment Cut Paper Consumption CASE STUDY: King County has cut paper usage by >20% • Set 20% paper reduction goal (2013 vs. 2010) • Established duplex printing standard • Implemented paperless office practices • All copy paper has 30-100% post-consumer recycled content • Achieved 21% reduction • Cost savings = ~$210,000 www.ResponsiblePurchasing.org 15

  16. Green Purchasing Best Practices: Imaging Equipment Specify RoHS-Compliant* Imaging Equipment *The RoHS Directive is the European Union’s policy on restriction of hazardous substances for electrical equipment. www.ResponsiblePurchasing.org 16

  17. Green Purchasing Best Practices: Imaging Equipment Transition to MFDs A single ENERGY STAR multi-function device (MFD) will prevent ~320 pounds of CO2 over 6 years. scanner copier fax all-in-one printer vs. • Consider eliminating individual desktop printers • Order with energy management, duplexing and network functions enabled www.ResponsiblePurchasing.org 17

  18. Green Purchasing Best Practices: Imaging Equipment MFDs Save Money CASE STUDY: Alameda County, CA Desktop Printer Reduction Project • 70% reduction in desktop printers • $7000 in annual cost savings  Energy savings from eliminating redundant equipment  Lower ink/toner costs  Avoided maintenance costs • Additional cost savings from its Paperless Express project, which was supported by use of MFDs. www.ResponsiblePurchasing.org 18

  19. Green Purchasing Best Practices: Imaging Equipment Adopt Procurement Policy for Green Electronics Maryland’s Green Purchasing Committee has adopted Guidelines for electronic equipment. The State of Maryland, in accordance with State Finance and Procurement Article Section 4-414, requires that when purchasing EPEAT eligible electronic products, state units purchase electronic products that comply with the following: • Listed or rated gold or silver on the EPEAT registry. EPEAT eligible electronics include: • Computers • Displays and Monitors • Imaging Equipment • Televisions http://www.dgs.maryland.gov/GreenOperations/GreenPurchasing/Guidelines /specs/ElectronicandITProductsSpecification.pdf www.ResponsiblePurchasing.org 19

  20. Green Purchasing Best Practices: Imaging Equipment Before Bidding What types of products are needed? • Evaluate past usage • Avoid buying “too much machine” – What functions do you need? – Match expected volume to equipment size • Color versus monochrome (black) • Toner versus ink • Buying versus leasing www.ResponsiblePurchasing.org 20

  21. Green Purchasing Best Practices: Imaging Equipment Before Bidding What types of products are available? • Check the EPEAT Registry (and ENERGY STAR list) to find products that meet your needs • Ask vendors to demonstrate equipment that meets your specs (RFI) • Research environmental features and equipment options on the Buyers Laboratory (BLI) website, http://www.buyerslab.com www.ResponsiblePurchasing.org 21

  22. Green Purchasing Best Practices: Imaging Equipment Options for Procuring Green Electronics • Require vendors to only offer products on the EPEAT Registry (or ENERGY STAR list) • Add EPEAT-registered products to your market basket/core or bid list • Give points in RFP to vendors that offer the most EPEAT-registered products (or products that have achieved Gold Status) • Find compliant products on existing contracts www.ResponsiblePurchasing.org 22

  23. Green Purchasing Best Practices: Imaging Equipment Green Bid Specifications • Equipment shall be EPEAT-registered (isolated exceptions shall be ENERGY STAR-certified) • Must include auto-duplexing equipment; duplex mode must be set to “on” by default • Shipped with energy management systems (sleep/standby modes) enabled • Vendor shall guarantee that equipment (including duplexing) works reliably with recycled paper and remanufactured toner/ink cartridges • Vendor shall provide annual compliance reports • Vendor shall take-back equipment & responsibly recycle it www.ResponsiblePurchasing.org 23

  24. Green Purchasing Best Practices: Imaging Equipment Bid Evaluation • Verify that products offered meet green specs (e.g., are on EPEAT Registry, ENERGY STAR list, etc.) • May want to conduct performance tests • Consider calculating TCO of competing products (including cost of energy, consumables) • Multiple awards can increase variety of compliant products on Price Agreements www.ResponsiblePurchasing.org 24

  25. Green Purchasing Best Practices: Imaging Equipment Assess Best Value by Vendors • Consider awarding points (using an RFP) for:  Offering wide selection of compliant products  Using environmentally preferable packaging and delivery systems  Providing (certified) electronic waste collection and recycling services (if not required)  Demonstrating experience with training, technical assistance and contract outreach • See sample vendor evaluation form in Guide www.ResponsiblePurchasing.org 25
