We all need to do our part to make a Beachwood summer possible
- We must recognize that this will not be a ‘normal’ season at Beachwood - things
will be different.
- We will need to manage attendance to keep occupancy below a certain level.
- Members will be required to sign a waiver and acknowledgement of the rules
before accessing the club this season.
- The check-in process will be strictly enforced. No exceptions.
- We plan to form several member committees to help guide and manage our
COVID measures (see final page of presentation).
- We will have a designated ‘safety captain’ on each shift who will focus on
ensuring that everyone is adhering to the club’s safety rules.
- Members that do not comply with staff instructions with regards to safety rules
will be subject to suspension of their club privileges by the Board.

Phased approach to safety measures
Phase 1
The first phase will follow strict measures as we establish our new
- perating routines. If the overall COVID situation improves and our staff
and members demonstrate good adherence to the safety measures, we can consider moving to the Phase 2 measures.
Phase 2
The second phase will lift some of the restrictions but will continue to promote social distancing and the avoidance of high-touch areas.
The rules shared in this presentation are an initial draft and represent a sampling of the total set of likely
- rules. The draft rules will be adjusted as necessary based on the latest CDC guidelines and state
- regulations. A complete list of 2020 rules will be available prior to club opening, and may be updated from
time to time as appropriate.

Swim Team– high-level approach
Approaches being considered:
- Swim Team Registration:
○ Will be sent out in early June via TeamSnap
- Practice Structure:
○ Will begin as soon as we are safely allowed to start and receive an update on the executive order in place from the Governor ○ Built to safely accommodate all age groups (e.g. different amount of workouts per week per age group, fewer swimmers per lane) ■ Please note: we will not be able to accommodate the Jr. Cudas program this summer ○ Maximum number of swimmers allowed in the pool per session: approx. 24-26 swimmers, dependent upon age group ○ Coaches will follow guidelines to allow for safe spacing in the pool during each workout ○ A coming survey will help coaches plan practice schedules based on the number of swimmers per age group
- Small Competitions:
○ Possibility of sanctioned intrasquad meets or virtual meets ○ Swim meets may require individual age-groups, limited event orders, etc. in order to stay within allowable participant numbers
- Some Safe Practices to be implemented:
○ Signed Waiver in order to join the swim team ○ Parent Volunteers to help assist with the flow of swimmers coming into and leaving practice ○ Swimmers will need to have their suits on and be ready to start practice ○ Swimmers should change clothes and will need to shower at home

Swim Team – Aiming to provide the best and safest possible summer swim experience
The Northwest Suburban Swim League and its coaches would like to provide some sort of a swim season this summer with a return to swim practice and competitions when safely allowed per the state’s executive

Tennis Team – Aiming to provide a safe and fun tennis season
The tennis coaches and staff would like to be able to run a safe and fun tennis season when allowed per the state’s executive order. Approaches being considered:
- Practice Structure:
○ Will be built to accommodate all age groups with the understanding that this season will be different ○ We will be limiting the coach to player ratio to 1:4 per court ○ Practice days could be spread out, Monday, Wednesday and Friday to reduce contact ○ Staggering start and finish times between groups with different entrance and exit points ○ Survey to help understand how many kids will be interested in playing this summer, to determine the timing and staffing numbers
- Tennis Matches and Ladders:
○ Some clubs have canceled tennis for the season, which might mean interclub matches only (still discussing)
- Some Safe Practices to be implemented:
○ Signed Waiver in order to join the Tennis Team ○ Parent Volunteers to help assist with the flow of tennis players coming into and leaving practice ○ Water breaks. Everyone bring a full bottle of water and allow a couple of courts at a time to take a break ○ No sharing of equipment ○ Stand on marked spots along fence line while waiting out ○ No purposeful contact (e.g. no high fives)

Seeking member volunteers
- Safety Committee: Provide support to the staff, particularly the Safety Captains,
in ensuring that members are following the safety rules and measures that have been put in place.
- Attendance Committee: Implement a solution for controlling the number of
concurrent attendees at Beachwood, likely requiring a registration system with a lottery process.
- Swim Team Volunteers: Help assist with checking swimmers into practice,
exiting them out of practice, reiterating 6 ft of social distancing on deck and other support needed, so coaches can focus on running swim practice and virtual swim meets.

Q&A Summary - General club
Q: When will the club open? A: Beachwood will open inline with Governor Whitmers executive order and readiness to assure member and staff safety. We aim to open within one week after the stay at home order is lifted. Q: Is there an opportunity to extend the season beyond Labor Day? A: This will be assessed, but unlikely given the staff’s college and high school obligations. Q: Will the club members be able to vote on COVID-19 protocols? A: The Board is factoring in guidance from state and local authorities as well as nationally recognized bodies (e.g., CDC, USA Swimming) and finally protocols put in place by other similar organizations. We do not anticipate opening up each action for a vote of the membership at this time. Q: How can I help out? What are the volunteer options? Q&A Summary - Membership
Q: If I am an at-risk individual or I have at-risk children - what are my considerations for the season? A: Please reach out to membership@beachwoodrec.org to discuss your situation. Q: Will there be full or partial rebates for the shortened season? A: We do not anticipate providing a rebate as previously laid out in the newsletter, however, the Board will revisit at the end of the season when costs are known. However, there is an expectation of increased costs (e.g., disinfectants, staff, etc.) and decreased revenue (e.g., guest fees, concierge sales). We will only be able to quantify this at the end of the season given the unknowns. Q: Can another adult take my child(ren) to the club (e.g., nanny, babysitter, neighbor)? A: Yes. The requirement is an adult is present at the club, and is accountable for the child(ren). Q: How will the reservation system work? A: We are in planning stages still. We are working under guiding principles of providing all members access (e.g. limiting reservations per week, lottery system in the event of too many member requests), planning in advance (e.g. one-to-two weeks), online access, etc. More details will be shared in the coming weeks.

Q: When will the tennis courts be open? A: Now! Tennis courts can be used in accordance to the club’s safety protocols. Please observe the member-only rule, and proper gate usage. Q: How can I get a tennis gate access card? A: Please email Hilary Henderson at tennis@beachwoodrec.org. Please expect a slight delay as we set up the system, Q: Will the basketball courts and Gaga pit be available? A: Not during the initial phase due to social distancing limitations. Q: Why are showers unavailable? A: In an effort to minimize contact with common surfaces as well as maintain social distancing, use of the showers will be on a need basis. Often times we have people gathering in the showers for extended periods which will not be permitted.

Q: When will swim team start? A: The swim team start date is governed by the same criteria as the club opening. Q: Will there be dual meets and championship finals? A: The NSSL, the league Beachwood participates in, is working through options such as targeted age-group meets, sanctioned virtual meets (i.e., each club swims in their own pool and times are aggregated afterwords), and other safety-first protocols. Q: How are you planning for safety in the pool? A: We are following USA Swimming guidelines for re-opening and planning, leveraging the expertise of seasoned coaches like Mike Venos and Drew Edson, and medical professionals.
