What Is The Portal?

► Internet-based system for submission of claims ► Currently in use in Mississippi ► Uses a Third Party Vendor (Okta) with

modifications for specific usage

– Secure – Safe – Requires multi-factorial authentication – HIPAA/HITECH compliant

Why Use The Portal?

► User Friendly

– Designed for Case Workers in mind – Used the KISS (Keep It Super Simple) method of design

► Cost effective

– No more mailing of hard-copy records – No more printing unless necessary – No more faxing or emailing

Why Use The Portal?

► Real-time feedback and access

– Able follow case status – Know immediately the case has been submitted and received – Receipt of email indicating specific status changes

  • 5134 – Request for Missing Information
  • 5135 – Decision

Why Use The Portal?

► Ease of supervisory follow up

– Supervisors and Program Managers higher level access – Supervisors can ensure proper follow through – Eligibility applications completed faster – Less errors

Beta Test

► Beta Tested with three Counties

– Wake County – Forsyth County – Ashe County

► Each county had training and testing via WebEx.

An After Action Review (AAR) was conducted at the end of each session.

  • Ability to remove extra dates of service that are not needed
  • Ability to check status at any time
  • Email notification of certain case status changes (DMA

5134 and DMA 5135 generated)

  • Ease of system access
  • User friendly
  • Everything housed in one location
  • Medical records are safer

► Wake County (continued)

– Needed Improvement

  • Incidentally changed dates in case
  • How to submit Missing Information
  • Add MID/CNDS number to Email Correspondence

– Corrections Implemented

  • Date ranges cleared after save was selected
  • Stress how to submit Missing Information during training

► Forsyth County

– Liked

  • Ease of use
  • Very user friendly
  • Ability to check status at any time
  • Safety of medical records (Not mailed, emailed or faxed)
  • Generally liked the entire process

– Needed Improvement

  • Found nothing bad
  • Found nothing that needed improvement
