CTAV History • CTAV - Career-Technical Alignment Verification • Purpose – Streamline transfer of CTAG credit • Timeline: o 2018 – CTAV work began o 2019 – “Phase Two” launched (integration of ODE’s CTE -26 process and OHDE’s CEMS approval process) o Fall 2019 – Pilot institutions began using CTAV o Winter 2020 – Training held o Spring 2020 – Fully implemented

  4. CTAV Fully Rolled Out • CTE students will begin accessing CTAG credit via CTAV: 1. When the home high schools uses the SSID number on the transcript 2. When the CTAN corresponds with an ODE EMIS coded course • Student assessment files will be available beginning at the end of June and will continue to be uploaded through August • Students whose home high schools aren’t using the SSID, and those with eligible courses corresponding to an ODE course without an EMIS code, will continue to submit paper Verification Forms

CTAV Fully Rolled Out – Continued • All postsecondary institutions were invited to attend training earlier this year • If your designated CTAV Liaison(s) didn’t attend training, please reach out to Mitch Wilson mwilson@highered.ohio.gov • CTAV Liaisons are responsible for accessing HEI for reporting needed to award CTAG credit

  6. Grade as WebXam Alternative • Course grades will be used in lieu of the traditional end-of-course WebXam assessments • Process is completed by ODE and CETE • Postsecondary institutions will not need to convert grades to scores

  7. CTAV Phase Three • Our goal is to create a process in which postsecondary institutions can report back credit that was awarded for CTAV • HEI Alternative Credit File current deficiencies • Improving research in CTAV and all OATN initiatives

  9. HEI Alternative Credit File Rewrite • Prior to Fall 2018, there were 9 codes, since has grown to 23 o These codes only allow for the study of types of credit • New changes will include the addition of identifying the actual courses awarded for these credit types

  11. HEI Alternative Credit Institutional Help • Currently matched 97% of courses in CEMS • Impossible for ODHE to match most of the remaining • A list will be generated for institutions still missing a few courses

SGCT Statewide Guarantee Credit Transfer https://www.ohiohighered.org/content/alternative_credit_ac_file • From 9 transfer-type codes to 23 • Graphical display of SGCT transfer-types; a version with codes and descriptions found on ODHE website • Transfer evaluator goal: 23 choices during evaluation process

  14. Three Approaches to Institutional Coding 1. Match 23 transfer types with institutional grades 2. Program SIS or degree audit for all 23 transfer types 3. Hybrid of both approaches

HEI Alternative Credit (AC) File Research • Preliminary data shows usage of the 16 new codes continues to increase • Generic transfer-type TC/Transfer Credit "catch-all" continues to decrease • 29 of 36 institutions used new codes • Overall, 19 of the 23 codes were used • Institutional transcript “senders” and “receivers” provide best practices insights

TIP Transcription Implementation Project • From exploration to implementing various models • Meeting SGCT coding…future is enhancing electronic transcription • Four continuing pilot institutions: Columbus State Community College, Cuyahoga Community College, Lorain County Community College, and Shawnee State University

Institutional TIP Highlights -Series of Conference Calls • Pilot: limit TIP to SGCT Ohio Articulation & Transfer Network and Testing Categories • Continue to modify/enhance the ATC • SIS-specific peers' insights • Enumeration details as resource document • "Toolkit" approach to upcoming webinars – June 1st and 25th • Timeline for TIP to be determined due to additional work by pilots, and the "unknowns" for institutions due to COVID-19

  22. Future Planning 1. What institutional help is needed moving forward with coding and transcription? 2. Review utilization data of all 23 transfer-types in the transcript evaluation process 3. Compare Autumn 2019 and overall AY 2020 data vs. prior terms and years 4. Recognize challenges of staff including IT resources in current environment 5. Continue sharing best practices

  32. Current State Of Tracking OGTP • Maintain pathways at the community college within SIS • Document pathways on transcripts that pass through the ATC

  33. Maintain accuracy of Academic Programs in the AP file • Data is moving into new Cyanna Software o Timeline TBD • Once Cyanna is rolled out, identifiers will be tracked and pushed into HEI o More information will be shared closer to launch
