  1. Poster Presentation Information for CRYO2016 Poster Boards This year poster boards are being supplied by Freeman of Ottawa, Canada. Each poster board is double-sided and has a surface area measuring of 8’ (243.8 cm) wide by 4’ (121.9 cm) high. The viewable ( useable ) surface area is 94 3/4” (240.7 cm) by 45 7/8” (116.5 cm). The poster board is mounted to two supports with the bottom of the poster surface located 2’7” (74.4 cm) from the floor.

  2. Each author will share one side of the double-sided poster board with another author. There will be four posters (two on the front and two on the back) on each poster board. Poster Size and Layout Each poster presenter will have a useable space that measurers 3’8” (111.8 cm) wide by 3’8” (111.8 cm) high . This leaves approximately 2” (5 cm) of space above, below, and next to the edge after your poster is attached to the board. This also leaves approximately 5.5’ (14 cm) of space between each poster. Please print your poster to this 3’8” (111.8 cm) square size or smaller. Poster materials cannot extend outside the assigned half-board useable space. Mounting Your Poster The poster boards have a Velcro friendly fabric with a soft core behind the fabric. The posters can be attached by using the male Velcro side only as the fabric is the female side or you can use push pins. We will supply each poster board with 10 Velcro male dots per poster board side. Therefore, you can place a male Velcro dot in each corner of your poster to attach it to the board OR you can bring your own push pins. Please do not use tape or any kind of glue to attach the posters to the boards as that will damage the boards. Poster Presentation Rules and Guidelines Ø All posters should be brought to the Fairmont Ballroom and mounted on the presentation boards on Sunday, July 24 th between 9:00 AM and 1:30 PM. The posters should remain on the boards during all four days of the conference. Ø All poster boards will be pre-numbered. Please make sure that you mount your poster on the correct board and position. Your number will be assigned to you and you will be notified of your number and the acceptance of your poster in a separate email. Ø All posters should be taken down on Wednesday, July 27 th between 9:00 AM and 12:00 Noon unless arrangements have been previously approved in writing by the Society for Cryobiology. Freeman of Ottawa will begin removing their poster boards at 12:00 Noon and any posters left on their boards will be removed and discarded. Ø Do not leave personal materials or property under the poster boards or in the Fairmont Ballroom as the Society is not responsible for it. Ø Remember that you must register for the meeting and wear your official CRYO2016 name badge to gain admittance at any time to the Fairmont Ballroom where all program breaks are located as well as the poster boards. If you would like to invite a guest, they must register for the meeting and obtain an official badge. Unregistered guests are not permitted to attend the poster sessions. Ø The two special meeting poster sessions are scheduled for Sunday, July 24 th between 6:00 and 8:00 PM and Monday, July 25 th between 6:00 and 8:00 PM.

  3. During those particular times you should make yourself available to answer questions and meet your colleagues. Ø The Student Poster Award Competition is also scheduled during those times on Sunday and Monday. The Student Awards Committee has decided to judge the student posters on two separate days. All students entered into the Best Student Poster Award competition who were assigned an odd (1,3,5…) poster number MUST BE PRESENT to answer judges’ questions on Sunday, July 24th between 6:00 and 8:00 PM. All students entered into the Best Student Poster Award competition who were assigned an even (2,4,6…) poster number MUST BE PRESENT to answer judges’ questions on Monday, July 25 th between 6:00 and 8:00 PM. Poster Design Suggestions Effectively designing your poster for maximum visual impact while clearly and concisely conveying your message requires careful thought and advanced preparation. Here are some suggestions for designing and preparing an effective poster. Ø Identify 2-3 principal messages you want to convey and choose a title that captures your main point. Ø Prepare a heading at the top of your poster indicating the abstract title, authors, and affiliations. Ø If you do not want your poster to be photographed, be sure to include a “no photography” image at the top right corner of your poster, at a size of 3” x 3” or larger. Ø Lettering, symbols, and numbers should use a large font size and you should bullet your main points. Text should be printed in fonts of about 3/8" to 1” height (font size no less than 28). Ø Summarize current research in graphic form whenever possible. Use charts, tables, graphs, pictures, etc. and minimize the amount of text. Most posters contain too much text. Ø Attractive charts, tables, and graphics greatly increase the effectiveness of any poster. Illustrations and tables should be kept relatively simple to maximize legibility. Avoid "artsy" style and keep captions brief. Ø Arrange materials in columns and use “white space” to help direct readers logically through your poster. It is easier to read information in vertical columns than in horizontal strips. Ø Lines in graphs should be heavy. You should choose colors that are easily distinguishable from one another. Ø Posters should be self-explanatory, but not comprehensive. They are posters and not papers. You should be prepared to supplement and elaborate during your conversations with others.

  4. Ø Your poster presentation must be readable from distances of at least 3' (90 cm). Keep it simple and clear. Ø Prepare your poster on laminated poster paper, fabric, or cardboard, allowing for space to mount it on the poster board with the male Velcro dots (supplied) or the push pins you bring. Please print your poster to be 3’8” (111.8 cm) square in size or smaller. Ø In case your poster does not arrive, we suggest you bring a smaller version of your poster on normal size paper as well as a copy of the poster on a USB thumb drive so that it can be printed on site. Many airlines now require that poster tubes be checked rather than brought as carry-on luggage. Please check with your airline prior to traveling.
