  9. Recap ….. What is the Matrix Standard? The matrix Standard is a unique quality standard for organisations to assess and measure their advice and support services, which ultimately supports individuals in their choice of career, learning, work and life goals.

Gateway / / End Point Assessment Process On Huddle each Academy Partner will have the following files with copies of the relevant blank forms: • Internal Verification Confirmation • Gateway Declaration • End Point Assessment • Appointment Schedule • Each file will be set up with a @EPA team i.e.  Melanie, RTA and Tricia * Current pilot Lindsay James & P4E.

Gateway / / End Point Assessment Process • Under the Technical Directors EPA File on Huddle the updated excel spreadsheet can be viewed by RTAs and Academy Partners as when each apprentices planned EPA date is. • The spreadsheet will be a view only document so no changes can be made. All changes will need to be confirmed in the comments section via @melanie. • Currently the spreadsheet only goes up to the Apprentices who have EPA planned dates up to September 2019.

Gateway / / End Point Assessment Process The Academy Partners will be asked to complete an End-Point Assessment Declaration Form for the Environment and Resources as a one off per venue they want to use for EPA. The declaration includes: • EPA venue address • EPA Environment • Hairdressing EPA Equipment Requirements • The Academy would need to upload this on Huddle in the EPA file. @EPA team would need to be added in comments.

  16. Gateway / End Point Assessment Process 1. Gateway Requirements are completed by the Academy Partner: • Level 2 Diploma for Hair Professional • Maths Level 1 Functional Skills or have an exemption • English Level 1 Functional Skills or have an exemption • Attempted Maths Level 2 Functional Skills or has an exemption • Attempted English Level 2 Functional Skills or has an exemption. This includes: • Writing • Reading • Speaking and listening • Been on the programme for a minimum of one year. • Evidence of completion of required 20% Off-the-Job training

  17. Gateway / / End Point Assessment Process 2. Internal Verification Confirmation (IVC) is scanned onto Huddle by the RTA and @melanie, @pam and the Academy Partner are added to the comments by the RTA 3. The Gateway Declaration Form is completed and scanned onto Huddle and @EPA team are added to the comments by the Academy Partner. 4. The EPA reservation is made via the Walled Garden by Pam. Still awaiting confirmation from C & G how CT access subcontractors Walled Garden accounts.

  18. Gateway / / End Point Assessment Process 5. Within 2 days of the reservation being made on the Walled Garden a member of the EPA team will contact MM to complete a Data Capture Form . The Data Capture Form is based on the Request for End Point Assessment that has been completed by the Academy Partner. The Data Capture Form has to be returned to City & Guilds within 10 working days. The information required includes: • Apprentices names, • City & Guilds numbers • Salon name • First and second choice of date requested for EPA • Location of EPA • Start time • Any access to assessment considerations • Appointed person on the day of the EPA

  19. Gateway / / End Point Assessment Process 6.Within 5 working days of submitting the Data Capture Form , MM will have access to the EPA portal. 7. Within 10 days of having access to the EPA portal the following have to be uploaded: • Gateway Declaration Form • Evidence of maths and English completions, exemptions and attempts. • On programme certificates

Within 3 days of the Gateway evidence being submitted on to the EPA portal MM will receive a document called End-point Assessment Services (EPA) Booking confirmation . MM has 2 days to confirm that the details are correct.This will be added to Huddle under the Academy Partners EPA File and @RTAs will be added to the comments. 9. Between the Apprentice completing and the EPA date, the RTA is to work with the Academy Partner on mock assessments and completing of the appointment schedule and Preparation for End Point Assessment Action Plan.

  21. Gateway / / End Point Assessment Process 10. Three weeks prior to the EPA the appointment schedule needs to be uploaded onto Huddle and @EPA Team added to the comments. 11.MM will add the appointment schedule to the EPA portal 12. End Point Assessment to take place.

  23. Functional Skills

Unannounced audits can take place as per section 2.14.2 of the Centre Manual, which states : • City & Guilds staff or representatives will also undertake unannounced activities at centres from time to time. Centres will not be notified in advance of these, but individuals carrying out these activities will carry appropriate ID and letters of authorisation from City & Guilds. Centres are obliged to allow admittance to their centre premises on these occasions and to comply with any reasonable request for access to information, records, staff and learners. • Unannounced activities include examination audits. These are designed to ensure validity, reliability and integrity in the assessment of qualifications and provide the opportunity to get information on centre exam administration and conduct. For ‘on - demand’ online examinations it is not always possible to undertake unannounced examination audits. In these instances the Quality Delivery Teams may contact centres to request information on when these examinations will be administered, in order to plan examination audits.
