Composition of the thesis committee: ü A tutor proposed by the PhD student and its supervisor(s) ü A scientific expert proposed by the PhD student and its supervisor(s) ü A doctoral school representative appointed by the ED ü The supervisor does not belong to the committee but participates in the meetings ü In case the tutor or the expert belongs to the ED, it will be possible that the ED appoints one of them as the ED representative. ü See the ED website for the rules concerning the choice of the tutor and the expert and for the organization of the thesis committee: you will be asked soon for the names

ü Schedule First meeting : beginning of the 2nd year (september-december 2017) Second meeting : second trimester of the 3rd year (january-february 2019) Additional meetings can be organised if needed. ü Organization The PhD student is in charge of the organization: he/she must contact all the members of its committee in advance to set a date. One week before the meeting, the PhD student will send a progress report to all members of the committee and to the ED (specific form, see the ED website). The day of the meeting:

  • The PhD student presents her/his results and future work.
  • This presentation is followed by a scientific discussion.
  • At the end of the meeting, there is an interview of the PhD student in absence of

the supervisor and vice-versa. After the meeting, a report is written by the ED representative (specific form, see the ED website) and transmitted to everyone (PhD student, supervisor(s), members of the committee, ED). The two meetings of the committee are mandatory to be authorized to register in 3rd and 4th year of PhD and to be authorized to defend !!!

ü Each year, PhD students representatives with the pedagogic team of the doctoral school organize for all the PhD students a congress during which

  • ral communications and posters are given by PhD students (2nd and 3rd

year). ü PhD students can invite personalities of the scientific or industrial world to give a conference. ü A prize is given to the best poster and the best oral communication. ü This congress is a way for PhD students to meet each other and to learn

ü You can start the procedure when you have one paper first author, at least in preparation, in an international scientific journal. ü The whole procedure will take not less than 2 months. As the administrative services are closed from mid-july to the beginning of september, avoid to choose a date between the end of july and the 10th of september. ü You should plan your defense before the 15th of december (otherwise you need a new registration). ü You must be financed until the end of your PhD (including the defense!): if your 3 years financial support ends before the date of your defense, your laboratory has to find you another financial support. ü For all students (registered at UPMC or at PSL), the thesis defense procedure is identical and begins by sending an application form at the ED.

The PhD defense

slide-24
SLIDE 24

The PhD defense

You send your application file to the ED (CV, list of trainings, summary of the thesis, proposal

  • f a thesis jury through the UPMC or PSL form)

Interview with a member of the pedagogical team of the ED: “entretien de soutenance/defense interview” (validation of the application, validation of the jury, discussion

  • n the professional project )

You send your manuscript to the 2 thesis reviewers The 2 reviewers send their report to the ED On the basis of the reports, the ED authorizes the defense Once the ED has approved your applicaGon, you can begin the administraGve procedure at your establishment of registraGon (UPMC or PSL)

at least 2 months before the defense at least 1,5 months before the defense at least 3 weeks before the defense defense

Defense

slide-25
SLIDE 25

The PhD defense

The composition of the thesis jury must follow the rules of the ministerial decree ü Between 4 and 8 members, respecting a balanced representation of men and women ü At least half of the members are external (i.e from outside the ED and the establishment

  • f registration of the student)

ü At least half of the jury are professors or equivalent (DR, senior researchers) ü The 2 thesis reviewers must be external, must be accredited to supervise PhD (HDR

  • r equivalent) and must not have collaborated with the team.

ü The thesis director belongs to the jury but does not take part in the final decision. ü The jury must contain a representative of the establishment of registration of the student, in addition to the PhD supervisor. ü The jury will be presided by one member of the jury chosen among the professors or equivalent (the PhD supervisor cannot preside the jury).

You can ask ED for advice when you begin to constitute your jury (before sending your application) All the details on the thesis defense procedure of the ED website: http://www.ed515.upmc.fr/fr/04_deroulement/05_soutenance/index.php

slide-26

If you cannot defend before the 15th of december of your third year...

ü In april of the 3rd year, you will have to send an application to the ED (including the report of the thesis committee, the advice of the thesis supervisor, the expected financial support). ü In may, you will receive the answer of the ED. ü If the answer is YES, you will have to proceed to your administrative registration but

  • nly when you have the proof of your financial support (between july and

september/october). you need a derogation for a fourth year of PhD, with a financial support.

You will not be allowed to register for a fifth year (except for medical reasons)

Each year, at UPMC and PSL, a graduation ceremony is
