TODAY’S AGENDA

  • My goal has been to try to get a handheld to do as much as a PC can. As of this

writing, a phone or tablet is about 70% of a PC, depending, IMHO.

  • That means that for efficiency and sanity’s sake, you will be using a PC to get

some things done, but can usually view the finished work on your handheld.

Think of the phone/tablet as the “shuttle” to the “mother ship” PC or Apple (I’m a sci-fi fan) Most of the apps shown today will have a PC or Apple version too, and synchronize with the computer. But most can operate independently.

slide-8
SLIDE 8

TODAY’S AGENDA

  • Time management systems (the philosophy)
  • Selecting a Time Management System
  • Selecting the Apps to implement the Time Management System
  • Applying Time Management Systems to task/time/calendar apps on Android

(the tools)

  • Productivity and note-taking apps
  • Additional assorted applications you may find useful
  • Format: Combination of screen snapshots and live screen work

TODAY’S AGENDA

Disclaimer: Some applications I present may no longer be available on the Google Play Store for Android Suggestions: You may download applications from the Play Store during this presentation as we have Wi-Fi available here at this location Experiment with different applications to find the one that matches who you are and how you process things. Spending a few dollars here and there can definitely be worth it when you find something that makes your life better

PROTECTING YOUR BELOVED DATA

  • A key to organizing is having all your info in one place, easy to get to
  • But if you are putting ALL your schedules, anniversaries, repeating tasks and

brain dumps into apps – make sure the app is reliable, both in quality and longevity

  • Make sure you have frequent backups of the data – stored at another location
  • Make sure the app data is not in a “proprietary format” – other apps should be

able to access and read it (as a backup – plan B)

  • Consider what you will do if you lose your device – have a ready alternative
  • Consider what you will do if the software manufacturer abandons the software or

the company is bought out and changes course – have another alternative plan

  • Sometimes your success depends on overcoming or avoiding disaster

IT'S 2016. WHY CAN'T ANYONE MAKE A DECENT FREAKING TO-DO APP?

"A lot of tech people I know are going back to paper," organization and time-management guru David Allen tells me. "Because a paper planner ... there’s still no better tool than a paper planner.“

SYSTEMS FIRST, TOOLS (APPS) AFTERWARDS

Consider getting to know a Time Management System first, before jumping into an app that “looks good” Then use the app as a tool to implement your system A System exists in your head. An app exists on your phone, PC, device. A System consists of steps and procedures and discipline Examples of Time Management Systems

  • David Allen’s “Getting Things Done” (GTD) – most popular
  • Michael Linenberger’s “Manage Your Now” (MYN)
  • Stephen Covey
  • Rory Vaden
  • And many more…
slide-25
SLIDE 25

WHY A SYSTEM FIRST?

  • Top-down organization – order that you can understand
  • Consolidation of data – one place for everything (reduce clutter and stress)
  • Provides procedural habits that work the system
  • Universality – freedom from being locked into apps and devices (if needed)
  • A good system should work with a good app, and it’s competitors – you are not

tied to one app or one company

  • A good system could even be implemented with paper, email, note-taking apps
  • Long-lasting: An app may come and go, a device may become obsolete, but your

system can live on indefinitely

slide-26

FRIDGE DOOR “APP” – IT MEETS REQUIREMENTS

  • Quick and easy to use
  • Is no more than needed
  • Self-supporting
  • Every system should be this easy to do!!
  • The Fridge Door App makes sure we don’t run out of grocery items and know

when to replace the water pitcher filter – done!

  • Implementation of the Grocery Replacement System and Filter Replacement

*WHY USE AN APP?

An App is TOOL, not a solution by itself The TOOL, the App, is used to implement your system, but is not the system Paper is a tool too. It's easy use, but not always easy to manage, But when you can't stand paper's limitations, you can try software and devices All apps, software and devices have to be competitive with simple paper and your memory and your personal organizing ability If the apps and devices can't outdo paper and your abilities, there is no reason to use

  • them. Right?

Always weigh the time and effort you put into something versus the competition

slide-36
SLIDE 36

THE “BEST” APP IS THE ONE THAT YOU WILL ACTUALLY USE AND THAT REALLY SAVES YOU TIME AND STRESS

  • Your chosen app must compete with paper
  • So that you will use it consistently

ADDITIONALLY

  • It has depth - So you do not outgrow it
  • It will not be abandoned by the manufacturer
  • Easy to use
  • Easy to learn
  • Enough features
  • Fits your Time Management System
slide-37
SLIDE 37

TASK MANAGEMENT APP FEATURES: WHAT PAPER CAN’T DO

  • Scheduling (calendaring)
  • Reminders, email or pop-up
  • Alerts / Alarms (sound, light)
  • Repeating task feature, flexible
  • Color – coding, Cards
  • Search – detailed, advanced
  • As near as your phone

GO FOR SUSTAINED IMPROVEMENT, NOT PERFECTION

  • A small number of us will achieve 100% app nirvana
  • Most of us (myself included) can reach 70% to 90% good management - and that

may be sufficient for life

  • But keep alert for ways to improve
  • The gist of this presentation is to avoid as much trial-and-error and disruption as

possible

slide-40
SLIDE 40

EVALUATING THE HANDHELD – EFFICIENCY, RELIABILITY

  • How portable? Pocketable is best
  • How light? Is it easy to handle?
  • Can you use it one-handed?
  • If two-handed, can you reach keyboard with your fingers?
  • Can you read a full web browser, or is it better to stick to apps?
  • If tablet, are there tablet-version apps? Or do phone apps work OK?
  • Battery life OK? Or carry a spare charging battery
  • If tablet, does it support cellular data if / when you are traveling away from Wi-Fi?
  • Use cases or gadgets that allow it to stand up, be easily held, and store a stylus

EVALUATING APPS – SUPPORT FROM THE MANUFACTURER

DOES THE MANUFACTURER CARE ENOUGH TO HELP YOU OUT?

  • Detailed “Help“ Section
  • Startup manual guide
  • Responsive email support
  • Responds to online reviews, offers help
  • Provides tutorials – from the manufacturer (YouTube videos, YouTube channel)
  • Has lots of user fans that will support the app too (online posts, YouTube videos)
  • Online forum, and support
  • Blog

slide-51
SLIDE 51

EVALUATING APPS – PUNDIT REVIEWS

  • Read online reviews
  • How will you learn the app? Look for lots of how-to tutorials and videos about the

app – especially from the software company itself

  • Look for good independent how-to tutorials too
  • Ignore quick reviews, especially those that cover multiple apps in one review

TASK MANAGEMENT APP - FEATURES

  • Tasks (to-dos) as individual items
  • Tasks (as combined checklists)
  • You data lives in the cloud and your device syncs with the cloud
  • Can be accessed with a browser, not just an app
  • Has apps for all the devices you use (iPhone, Android, Blackberry, Microsoft)
  • Widgets can be a plus
  • Allows categorization for sorting
slide-85
SLIDE 85

DEMO - REQUIREMENTS

For most of the cloud-based apps you must have created an account with the app company and be logged-in For Google accounts, you must have a Google account, be logged in with your handheld, and have Sync turned on. The app may work-stand alone (not synchronized) if you do not log in. You can get a Google account by signing up for Gmail. Then you will automatically have access to Google Keep, Calendar, Docs, and the Google suite of products. In Android, go to Settings à Accounts à Google and check that your account is active and syncing. You can check your other accounts this way too.

slide-90
SLIDE 90

HOW TO KNOW IF YOUR DATA IS CLOUD-BASED

  • You can access your data from a web browser
  • You have to log in to the manufacturer’s web site to get to your data
  • The manufacturer says it is cloud-based. “Online” is a key word to look for.
  • Know the risks if your data is not cloud-based, nor backed up regularly
  • If you really use your data a lot, then the data is more valuable than the hardware

and software you use to get access it

ENVIRONMENTAL WORKING GROUP (EWG)

EWG.ORG

The Environmental Working Group’s mission is to empower people to live healthier lives in a healthier environment. With breakthrough research and education, we drive consumer choice and civic action. We are a non-profit, non-partisan organization dedicated to protecting human health and the environment. EWG’s groundbreaking research has changed the debate over environmental health. From households to Capitol Hill, EWG’s team of scientists, policy experts, lawyers, communication experts and programmers has worked tirelessly…

slide-122
SLIDE 122

ENVIRONMENTAL WORKING GROUP (EWG)

EWG.ORG The EWG has raised concerns about the large numbers of chemicals from food and environment that is now in everybody’s bodies – including newborns Some scientists have theorized that the rise in autism spectrum disorders may be caused by the pollution and chemicals we take into our bodies daily in this industrial society

slide-123
SLIDE 123

EWG AND THE PRECAUTIONARY PRINCIPLE

There are too many chemicals now in our bodies and not enough scientific studies of all of them. Some are well-known, but many others are not well known yet. In the meantime SOME scientists and doctors are recommending a “better safe than sorry” approach. AKA “Err on the side of caution” You will not find many doctors that prescribe this approach because the science is not yet “official” and general public knowledge. Europe, the EU is far ahead and has banned and regulated more food and industrial chemicals. The USA may be behind. You are free to choose whether to work, on your own, to keep chemicals out of your body by choosing the food and products for you and your household. This choice does not interfere with your regular “official” medical treatment, but is an addition to what is “official” in the USA.

slide-124
SLIDE 124

YOU CAN APPLY THE PRECAUTIONARY PRINCIPLE

DEFINITION precautionary principle noun the precept that an action should not be taken if the consequences are uncertain and potentially dangerous https://www.dictionary.com/browse/precautionary-principle AKA: “Err on the side of caution” or “Better safe than sorry” YOU DECIDE FOR YOURSELF. YOUR DOCTOR MAY NOT WANT TO “GO THERE” UNLESS IT IS “OFFICIAL” AND IT MAY TAKE YEARS AND YEARS TO BE “OFFICIAL”, IF EVER IN THE MEANTIME, YOUNG CHILDREN ARE BEING EXPOSED TO UNKNOW (AND KNOWN) CHEMICALS WHILE THEIR BODIES ARE STILL DEVELOPING.

ABOUT PRIVACY AND ANONYMITY

  • Privacy = knowing the details of you activity (and keeping a record)
  • Anonymity = knowing who is doing the activity (and keeping a record)
  • Most experts agree that internet users can increase their privacy, but anonymity

is more difficult, if not impossible

  • So it is possible for tracking organizations to see what you are connecting to, but

not necessarily the details of the activity (the interactions can be encrypted)

slide-164
SLIDE 164

GOOGLE PRODUCTS AND YOUR PRIVACY

  • Many people think of Google as a search engine company
  • That is not their primary business model
  • Google makes its money off of ad placement (like a billboard company)
  • Google uses surveillance (tracking) to profile you to target the ad placement and

charge more to the advertiser

  • Google is a surveillance and advertising company first, primarily
  • Mail, search engine, Maps, Android, Keep, Calendar, Chrome browser are all utilized

for this purpose

  • Other countries have decided to regulate Google and other companies more than the

USA has currently chosen

  • Some say “It’s the wild west” as regards privacy
  • Expressing your intentions may help you in the future – being passive is how your

personal information is legally saved - forever

slide-165
SLIDE 165

GOOGLE PRODUCTS AND YOUR PRIVACY

  • It’s beyond the scope of this presentation to get into the technical weeds of privacy
  • But it is the duty of anyone demonstrating Google products to notify users of any side

effects

  • We don’t know how the future will play out – especially as regards your personal

information stored and owned by another company

  • Again, if you TRY to get more privacy, that could help you in the future
